Today’s federal agencies often deal with complex paper- and manual-driven processes for managing licensing and inspection efforts. One particular agency needed to enhance a wide-range of processes that were inefficient and highly error-prone.
For example, the agency needed to digitize and modernize its specialty crop inspections. It was also utilizing a decentralized and manual process to issue permits, licenses and authorizations. This resulted in unconnected, parallel, redundant workflows and a frustrating customer and employee experience that caused months of delays for getting certain documents approved.
The agency also needed an easier process for submitting civil rights complaints, improving case resolution times, and increasing transparency and auditability of the complaint process.
A modern client relationship management tool to handle the licensing and regulatory program for hemp to ensure compliance with key regulations also became a foundational need for the agency.
Docusign CLM integrated with Salesforce as the foundation
By using Docusign CLM integrated with Salesforce, the agency was able to support the end-to-end process of scheduling and managing inspections in facilities that process crops.
The agency also developed a new licensing system powered by Salesforce that enables customers to quickly locate and apply for the correct approval documents and streamline the internal approval process for employees. A second process was created for enhancing the management of the submission and disposition of civil rights discrimination complaints lodged against its programs and partners.
Overall, Docusign CLM is a core part of these mission-critical systems and plays a vital role in the issuance of permits. Docusign is used to generate and store PDFs for official permits, licenses, registrations, other documentation, and records.
The agency selected Docusign as its document and storage solution because it offers a no-code method for configuring templates and workflows within Salesforce.
